01The short answer

Here is what party rentals cost in Metro Vancouver in 2026: chairs run $3.25 to $8.50 per day, tables $10.95 to $15.50 per day, tents $75 (a 10×10 popup) to $1,890 (our 30×60 marquee), the checkered dance floor is $800 per event, and silent battery power starts at $110 per weekend. Those aren't "starting at" teasers — they're the same numbers sitting in our booking system today. Twenty-two years of quoting has convinced us that a published price sheet saves everyone a week of email.

One thing before you compare us to anyone else: read the units. We price three ways. Chairs, tables, popup tents, heaters, and lights are per day. Marquee tents and the dance floor are per event — one price covers install, your event, and takedown, even when that spans a full weekend. Power stations and Starlink are priced per 2-day weekend. Two things we tell every caller. First, the biggest step on the sheet is $630 to $1,100 — the 20×30 to 20×40 jump — because the 20×40 is the tent that swallows a full wedding: head table, rounds, and a dance floor. Second, the quiet bargain is the 20×60 at $1,260: only $160 more than the 20×40 for 400 extra square feet. When a guest list sits anywhere near 100, we point people there. The 30×60 is three 20×30 sections gutter-joined into one seamless 1,800 sq ft interior — it's what we stage for 150-guest weddings. Three chairs, three jobs. All of them arrive wiped, inspected, and staged to your floor plan when you add delivery.

The gap between fanback and Chiavari is $5.25 a chair — $525 across a 100-guest event — so decide where the chairs will actually be photographed. The split we stage most often: fanbacks outside for the ceremony, Chiavaris inside for dinner, both styles on one delivery with no mixing surcharge. 04Table prices — and the seats-per-table math

Table budgets are really seating math, so here are both numbers side by side.

Worked example for 100 guests: thirteen of our 5ft rounds gives you 104 seats for $175.50, while thirteen 6ft banquets with end seating covers the same headcount for $142.35. Rounds win on conversation and centrepieces; banquets win on price and family-style service. Highboys aren't seating at all — they're mingling infrastructure. One per 10–12 standing guests is the ratio we plan to.

The dance floor is one flat $800 whether you take it at 12×12 or 20×20 — size it at roughly 4.5 square feet per active dancer. Heaters matter from October through April; string lights matter always.

06Battery power stations — $55 to $335 per weekend

Backyards and park sites rarely have the power an event needs, and half the venues we serve ban gas generators outright. Our EcoFlow fleet is silent, indoor-safe, and priced per 2-day weekend:

The Delta 3 Max is our most-booked unit — $105 more than the Delta 2 for double the capacity and enough output to run an espresso bar or a DJ rig with UPS protection. When an event runs long, an extra battery at $55–$65 is the cheap way to double runtime; the $75 solar panel earns its keep on multi-day rentals where there's no outlet to recharge from between days.

07Starlink & projector

Two items, two numbers:

  • Starlink Standard Actuated kit — $145 per weekend. Self-aligning dish, router, cabling, and a pre-activated Roam subscription; 100–200 Mbps down at 25–50 ms, running about five minutes after you set it down with a clear sky view.
  • HD projector & screen — $175 per day. A 5,000-lumen Full HD laser projector that holds an image at dusk and in lit rooms — backyard movie nights, wedding slideshows, corporate decks.

08What's not on this sheet

A price list that pretends to be the whole invoice is lying to you. Four things sit outside the numbers above:

  • Delivery and setup. Quoted separately, calculated from your postal code and order size — a popup tent to Cloverdale and a 30×60 build in North Vancouver are not the same job, so we don't pretend one flat fee covers both. Pickup from our Surrey warehouse is available on many items at no charge.
  • Damage waiver. Industry standard is 7–10% of the rental subtotal; ours is 8%, added to the invoice unless you opt out in writing — waive it and the replacement cost of damaged gear is on you.
  • Insurance certificates. If your venue requires a Public Liability Insurance certificate naming them, budget $75–$150. Most park venues ask for one.
  • Linens and taxes. Linens are coordinated through our partners and quoted with your order; GST/PST apply to everything.

When you compare vendors, compare the out-the-door number — a cheaper headline price with a vague delivery line usually isn't cheaper.

Two observations from staging these weekly. The 150-guest corporate cart lands within $35 of the 100-guest wedding because a dance floor costs about what a projector-Starlink-power stack does — headcount isn't the main driver, the build is. Our black-and-white checkered dance floor is $800 per event, in sizes from 12×12 up to 20×20, with the levelling subfloor included — it installs over grass, carpet, or pavement. Plan roughly 4.5 square feet per active dancer.

Are delivery and damage waiver included in these prices?

No. Delivery is quoted separately based on your postal code and order size. The damage waiver runs 7–10% of the rental subtotal (ours is 8%, opt-out in writing), and if your venue requires a Public Liability Insurance certificate, budget $75–$150.
