Corporate Event Layout Planner

Draw the company event to scale — cocktail reception, seated dinner, buffet banquet, or full picnic — with live rental pricing for the budget line and a clean exported floor plan for the approval chain.

For the Person Who Got Voluntold

Plan the Event Like You'd Plan a Project

Corporate events have a constraint weddings don't: an approval chain. Facilities wants the site plan, finance wants a number, your director wants to see it before signing off — and you want all three answered before Thursday's meeting. That's the gap this planner fills. Build the layout to scale, watch the rental estimate total itself in the corner, export a clean PNG of the floor plan, and attach it to the email. Done.

Every item is sized from our real inventory — 20×30 to 30×60 marquees (joinable for bigger headcounts), cocktail highboys, 6ft and 8ft banquets, chairs, and dance floors — and priced from our live catalog. When the layout is approved, the quote request goes out from inside the planner with the itemized list attached, so procurement gets a number that matches the drawing.

Recurring formats are pre-built below. For bundled pricing, see the 50, 100, and 150-guest corporate packages, or the corporate events page for the full program — including staffed carnival game booths for picnics and family days.

Format Notes

Choosing the Right Corporate Format

Cocktail beats seated for networking — and for budget. Standing receptions run about 8 sq ft per guest versus 12–15 seated, which means a smaller tent, fewer rentals, and more actual conversation. One highboy per six guests keeps drinks parked without anchoring people in place.

Seated dinners need service aisles, not just seats. The difference between a smooth plated dinner and a slow one is the 6–8 ft aisles catering staff work from — our corporate templates build them in. Podium or presentation? Reserve the short wall with sightlines from every table; the projector and screen package covers the AV.

Picnics scale differently. Outdoor family days spread across zones — covered dining, open lawn games, staffed activity booths — rather than one dense layout. The corporate picnic & festival guide maps the zone approach, and staffed carnival games give a 200-person picnic a focal point that works for every age.

Power is part of the floor plan. Catering warmers, AV, and string lights all want outlets that fields and parking lots don't have. Quiet battery power stations handle it without generator noise during speeches; Starlink covers connectivity for off-grid venues and hybrid-meeting livestreams.

FAQ

Corporate Event Layout Questions

How much space does a corporate event need per person?

Standing cocktail receptions run about 8 sq ft per guest — the most space-efficient format. Seated dinners at long tables need 10–12 sq ft, rounds 12–15, and a full program with stage, buffet, and AV pushes past 15. A 75-person standing reception fits a 20×30 marquee; a 60-person seated dinner with proper service aisles wants a 30×60. Full numbers in the event spacing guide.

Can I export the floor plan for venue and management approval?

Yes — the planner exports a clean, watermark-free PNG, and you can save the project file to revise after the next planning meeting. Facilities teams and venue managers can also view a shared read-only link without being able to edit the layout.

What does a tented corporate event cost to rent?

From our standard catalog: a 75-person cocktail setup starts around a 20×30 marquee at $630 plus highboys at $15.50 each; a 60-person seated dinner starts around a 30×60 at $1,890 plus tables and chairs. The planner totals your exact list live; the final quote adds delivery and setup. The corporate packages bundle the common configurations.

Do you handle delivery, setup, and takedown for corporate bookings?

Yes — delivery, professional setup, and takedown across the Lower Mainland are part of every corporate booking. Send your floor plan from inside the planner for a tailored quote within 24 hours, or call 778-990-7983 to talk timing, site access, and any venue paperwork.
